Core Committee MembersLeadership & Organisational Responsibility
The Core Committee consists of members entrusted with the leadership, administration,
planning, coordination and overall functioning of the Association. Core Committee
members are expected to act in the best interests of BGCA and contribute towards
effective, transparent and responsible organisational functioning.
Eligibility & Appointment
- Core Committee membership shall be based on the Association's requirements and its approved selection or appointment process.
- A person considered for a Core Committee position should demonstrate genuine commitment to the objectives, values and activities of BGCA.
- Selection may consider experience, skills, contribution, leadership ability, availability, conduct and suitability for the role.
- Appointment to a Core Committee position does not create permanent or unrestricted authority.
- The scope of authority of each office bearer or committee member shall be determined by the Association.
Rules
- Members must actively participate in meetings, planning, decision-making and organisational activities appropriate to their role.
- Responsibilities assigned to a Core Committee member must be performed diligently and in a timely manner.
- Members shall maintain honesty, integrity, discipline, mutual respect and confidentiality.
- Decisions and actions should be taken in the best interests of the Association rather than for personal benefit.
- Members must disclose any actual or potential conflict of interest where it may affect an organisational decision.
- The name, identity, position, letterhead, logo, documents, communication channels or other resources of BGCA shall not be used for personal, commercial or unauthorised purposes.
- No member shall make financial commitments, contractual commitments, public statements or other binding commitments on behalf of BGCA unless properly authorised.
- Public representation of BGCA shall be made only within the authority given to the member.
- Members shall maintain professional and respectful conduct with members, volunteers, beneficiaries, programme participants and the public.
- Confidential organisational information shall not be disclosed or used for an unauthorised purpose.
- Members are expected to support transparency, accountability and responsible use of organisational resources.
- The Association may review, modify, reassign or discontinue a Core Committee position according to organisational requirements.
- Holding a Core Committee position does not automatically create any right to salary, honorarium, reimbursement or other financial compensation unless separately approved by the Association.
- Resignation from a Core Committee position should be communicated to the appropriate authorised body of the Association.

General Members / VolunteersCommunity Participation & Voluntary Contribution
General Membership is intended for individuals who wish to associate with BGCA and
contribute to its objectives, programmes, educational initiatives, community
activities and volunteer work. General members may contribute according to their
interests, skills, availability and suitability.
Eligibility & Registration
- Individuals wishing to become General Members may submit the required membership information or application.
- Membership is subject to the Association's registration, verification and approval process.
- BGCA may request additional information or documents where reasonably required for membership verification.
- Members must provide accurate, complete and truthful information.
- False, misleading or materially incomplete information may result in rejection, suspension or cancellation of membership.
Rules
- Members should support the objectives, values and activities of BGCA.
- Members may participate in eligible activities, programmes, discussions, awareness campaigns and volunteering opportunities.
- General membership does not automatically provide any position, office, authority or decision-making power within the Core Committee.
- Members must follow BGCA's applicable rules, policies, programme instructions and code of conduct.
- Respectful behaviour towards members, volunteers, beneficiaries, programme participants and the public is mandatory.
- No person shall present themselves as an authorised office-bearer, representative or spokesperson of BGCA unless officially appointed or authorised.
- The name, logo, documents, photographs, videos, identity, social-media presence or other resources of BGCA shall not be used for personal, commercial or unauthorised purposes.
- Members must not collect money, donations, subscriptions or other contributions in the name of BGCA without proper authorisation.
- Members must not make promises, commitments or representations on behalf of BGCA without appropriate authority.
- Members should maintain confidentiality of information that is reasonably understood to be confidential.
- Members are expected to cooperate with organisers and volunteers during BGCA activities.
- Members should notify the appropriate coordinator where they have accepted a responsibility but are unable to fulfil it.
- Membership should be treated as an opportunity for meaningful association and contribution rather than merely as a title or status.
Rights & Participation
- Participate in eligible BGCA programmes and activities.
- Volunteer for community activities.
- Attend permitted meetings, discussions and awareness programmes.
- Offer suggestions, ideas and constructive feedback.
- Support authorised fundraising or outreach activities.
- Apply for specific programmes, projects or initiatives.
- Contribute professional, educational or practical skills where suitable opportunities are available.
- Seek information about activities in which they are eligible to participate.
Important Note: General membership does not guarantee
employment, salary, financial assistance, appointment to an office, selection for the
Core Committee, selection for every BGCA programme, government or institutional benefits,
travel, accommodation or any particular volunteer opportunity.

Program-Specific MembersProgramme, Campaign & Project Participation
Program-Specific Membership is intended for individuals who wish to participate in a
particular BGCA programme, campaign, initiative, regional activity, event, project or
special assignment. This category enables BGCA to involve individuals according to the
specific requirements of different programmes.
Rules
- Programme membership is linked to the specific programme for which the person has registered or been selected.
- Participation depends on the eligibility criteria, capacity, schedule and duration of the relevant programme.
- Members may participate only in activities for which they are authorised or selected.
- Programme-specific membership does not automatically grant General Membership or Core Committee membership.
- Programme rules, schedules, safety requirements and instructions must be followed.
- Members must provide correct information and required documents wherever applicable.
- Members are expected to maintain discipline and respectful conduct throughout programme activities.
- Members must cooperate with programme coordinators, organisers and authorised volunteers.
- Where an activity involves children, students, vulnerable persons or sensitive information, members must follow the additional instructions and safeguards applicable to that programme.
- Photographs, videos or other programme material shall not be used in a manner that misrepresents BGCA or the programme.
- Members shall not make unauthorised commitments or representations on behalf of BGCA.
- The Association may limit, suspend or discontinue participation based on programme requirements, availability, conduct, safety considerations or other valid organisational reasons.
- Programme-specific membership may end when the relevant programme, campaign, event, project or assignment concludes, unless extended or renewed by the Association.
- The programme name, BGCA name, logo or identity shall not be used for unauthorised personal, commercial or political purposes.

Preparations begin approximately four months in advance. The programme may require advance planning, coordination, volunteer mobilisation and event-related arrangements.
Few Hours · Simple Arrangement
Bheem Gyan Charcha
A discussion and knowledge-sharing activity intended to promote learning, awareness, exchange of ideas and meaningful community interaction.
2–5 Days · Proper Planning
Chintan Shivir
A multi-day programme requiring advance coordination, scheduling and appropriate organisational planning. Participation may be subject to registration, selection and availability.

Competitive Exams Preparation / Guidance
An educational and guidance-oriented initiative supporting students and aspirants through preparation, awareness, mentoring, guidance or related activities.
Programme Note: Programme schedules, duration, eligibility, capacity and
arrangements may change depending on organisational requirements. Participation may include
students, volunteers, mentors, coordinators, speakers, subject experts or other authorised
contributors according to the requirements of each programme.

Common Rules for All MembersApplicable to All Three Categories
Code of Conduct
- Act honestly, responsibly and respectfully.
- Support the objectives and positive reputation of BGCA.
- Treat members, volunteers, beneficiaries, participants and the public with dignity.
- Follow BGCA's applicable rules, policies and lawful instructions.
- Maintain appropriate behaviour during meetings, events, programmes and online interactions.
- Avoid discrimination, harassment, intimidation, threats, abusive behaviour or deliberate misconduct.
- Avoid behaviour that may damage the reputation, credibility or functioning of the Association.
- Protect confidential organisational and participant information.
- Respect the property, resources and identity of BGCA.
- Avoid using membership status for personal influence, unauthorised commercial activity or personal gain.
Use of BGCA Name, Logo & Identity
- Members shall not issue letters or certificates in the name of BGCA unless authorised.
- Members shall not open or operate accounts representing BGCA without proper authority.
- Members shall not collect donations or funds in the name of BGCA without authorisation.
- Members shall not enter contracts or agreements on behalf of BGCA without authority.
- Members shall not make official public statements on behalf of BGCA unless authorised.
- Members shall not create representations suggesting that they hold an official position without permission.
- Members shall not use BGCA's logo, letterhead, documents or official identity for personal or commercial purposes.
Financial Responsibility
- Members shall not collect money or donations in the name of BGCA without specific authorisation.
- Members shall not promise financial assistance on behalf of BGCA.
- Members shall not make financial commitments on behalf of the Association without authority.
- No member should represent a personal financial transaction as an official BGCA transaction.
- Any authorised financial activity should be handled transparently and according to the Association's applicable procedures.
Confidentiality & Responsible Information Handling
- Keep confidential information secure.
- Share information only with persons who are authorised to receive it.
- Avoid unnecessary copying, forwarding or publication of confidential information.
- Avoid publishing personal information, photographs or documents of other participants without appropriate authority or consent.
- Return or securely dispose of organisational information where requested.
Conflict of Interest
Members should act in the best interests of BGCA when performing organisational
responsibilities. A member should disclose any personal, family, professional, financial
or other interest that could reasonably create a conflict with an organisational decision
or responsibility. Where appropriate, BGCA may require the member to refrain from
participating in the relevant decision or activity.
Attendance & Participation
Members entrusted with specific responsibilities are expected to make reasonable efforts
to fulfil those responsibilities. Repeated absence, non-participation or failure to perform
assigned responsibilities without reasonable explanation may result in review of the
member's role or programme participation.
Online & Social Media Conduct
- Do not publish false or misleading statements representing them as official BGCA statements.
- Do not share confidential organisational information without authority.
- Do not use BGCA's identity for unauthorised campaigns or commercial purposes.
- Do not publish content intended to harass, threaten or deliberately harm another member or participant.
- Do not create misleading pages, profiles or communications suggesting official authority without permission.

Membership AdministrationApproval · Category Change · Suspension · Termination
Membership Approval
BGCA may verify information submitted by an applicant, request additional information or
documents, approve or decline an application, assign an appropriate membership category,
place reasonable conditions on participation in a particular programme, and review
membership where circumstances or organisational requirements change.
Submission of an application does not itself create a right to membership.
Change of Membership Category
A member may be considered for another membership category based on contribution to BGCA,
experience, skills, leadership ability, participation, conduct, availability, organisational
or programme requirements, eligibility and approval by the authorised body of BGCA.
A change of category is not automatic.
Suspension or Termination
BGCA may suspend or terminate membership or programme participation where appropriate, including in cases of:
- Serious misconduct
- Violation of membership rules
- False or misleading information
- Misuse of BGCA's name, logo or resources
- Unauthorised representation
- Unauthorised financial collection or commitment
- Harassment, intimidation or abusive conduct
- Serious breach of confidentiality
- Repeated disregard of organisational instructions
- Conduct materially harmful to the Association, its programmes or participants
Where appropriate and reasonably practicable, the member may be given an opportunity
to explain their position before a final decision is taken. The nature and duration
of any suspension or termination may depend on the circumstances of the matter.
Voluntary Resignation
A member may voluntarily discontinue membership or participation by informing the
appropriate authorised person or body of BGCA. For Core Committee members or members
holding specific responsibilities, reasonable notice may be requested to allow an
orderly transfer of responsibilities, records and organisational property.
Organisational Property & Documents
Members who receive BGCA documents, equipment, identity materials, records or other
organisational property shall use them responsibly. Upon request, resignation,
termination or completion of an assignment, such property or information should be
returned or handled according to the Association's instructions.

No Guarantee of Benefits
Membership in BGCA should not be interpreted as a promise or guarantee of:
- Employment or salary
- Financial assistance or any monetary benefit
- Government or institutional benefits
- Scholarships, admission or professional opportunities
- Appointment to an office or selection for a programme
- Travel, accommodation or any particular volunteer opportunity
- Any other monetary or non-monetary benefit
Changes to Membership Rules
BGCA may review and update these Membership Rules from time to time to reflect organisational
requirements, programme changes, operational experience or applicable requirements. Members
are expected to comply with the rules applicable to their membership category and activities.
Where a material change affects an existing programme or membership arrangement, BGCA may
communicate the relevant change through an appropriate channel.
Acceptance of Membership Rules
By submitting a membership application or participating in a BGCA activity, an individual
acknowledges that they have been provided an opportunity to read and understand the
applicable membership rules and agrees to comply with the rules relevant to their membership
category and participation.
Membership is a voluntary association and does not create authority beyond the rights and
responsibilities specifically granted by BGCA.
